Executive Assistant to the Founder/CEO
Vote Mama is looking for an Executive Assistant with exceptional communication and organization skills to assist the Founder & CEO in external communication, scheduling, and special projects. As Executive Assistant, you will report directly to the Founder and CEO, Liuba Grechen Shirley. This position is remote with flexibility to travel for in-person events if necessary. This role requires the ability to work independently and to exercise sound judgment and discretion while maintaining absolute confidentiality.
Compensation:
$60K - $65k/year

Core Responsibilities:
Assist the CEO with all external and internal communications including but not limited to: drafting correspondence, maintaining records, taking thorough notes in internal and external meetings, and compiling necessary documents and research for all external and internal meetings
Provide sophisticated calendar management
Oversee administrative duties for the CEO: expense reports management, timesheet management, and record maintenance
Attend in-person meetings and events as needed
Research, organize and make all travel, accommodations, and expenses for the CEO for in-person events/meetings
Maintain electronic filing systems
Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the operations of the company and the Executive Leadership Team
Research, assemble, and analyze information. Type reports, manuals, procedures, policies, agendas, meetings, and minutes. Proofread copy for spelling, grammar, and appearance, making appropriate changes
Prioritize inquiries and requests, troubleshoot conflicts with little guidance, make judgments and recommendations to manage day-to-day engagements
Assist in planning, coordination and execution of special events and projects (provide similar support to leadership team on an as-needed basis)
Organize meetings and events for convenings, retreats, various board meetings, and other logistics to ensure that the Founder & CEO’s office and organization is represented with excellence
Other additional and/or alternative duties as assigned from time to time, including supporting other departments or executives as needed
Required Qualifications:
Bachelor’s degree
2 years minimum experience in supporting a senior executive or team
Alignment with Vote Mama’s values and mission
Passionate about U.S. politics and policy based advocacy
Excellent written and verbal communication skills
Superb time-management skills
Ability to pay attention to detail and multitask
Well-developed organizational skills, initiative and independent judgment
Excels at problem solving and self-motivated
Basic understanding of frequently used computer software and programs, such as Microsoft Suite, Google Drive, Certify, and Gusto
Interpersonal skills
Ability to work as part of a team
